Protect Your Data With a Dropbox

What is Dropbox?

One of the tools that I love is Dropbox. Dropbox is a software application that enables you to synchronise your files online and across multiple computers. Dropbox works across multiple computers running Microsoft Windows, MAC OSX and Linux and all files are stored on secure servers which you can access via the Dropbox website.

How does it work?

Dropbox is effortlessly simple to use. Download the application from the Dropbox website, follow the comprehensive installation instructions and finally register an account. You will then find a folder called “My Dropbox” you can specify where you want this folder located during installation. The Dropbox folder works just like any normal folder, you can save files or drag them into the Dropbox and they will be instantly synchronised online. If you have multiple machines you simply download the application, link your account to the machine and all the files will be instantly synchronised to your new machine. This makes Dropbox ideal if you are using multiple machines, for instance a desktop office PC and a Laptop for when you are out and about. Everything you store in the Dropbox will be available on all your machines regardless of where you are.

Dropbox also offers file sharing facilities. To share a file with a client or supplier, you simply drag a file into the “Public” folder located in your Dropbox and the file will be assigned a unique URL which you can then share via Email or IM with your intended recipients. If you need to share a whole folder then Dropbox can deal with that too, right click the folder select “Share” from the Dropbox menu, you will then be able to enter the email address of who you wish to share the folder with, Viola all done!

What else does it do?

Clearly security is paramount whenever you use an online service. With Dropbox all the files that you store are automatically backed up along with snapshots of any revisions that you make. This makes it a breeze to retrieve files that you may have deleted or revert back to earlier revisions.

Who is it for?

Dropbox is ideal for consumers who want to secure their photos and documents etc, however it is equally useful for small businesses that want to share and secure files/folders without the hassle or expense of installing a server into their home office/office. Dropbox is especially ideal for small businesses that have people located in different locations and need to have their data available across multiple machines.

Their are a wealth of other uses for Dropbox which are outside of the scope of this post but if you have a search around you will find examples of people doing clever stuff with Dropbox!

Sounds great but does it work?

I personally have been using Dropbox for about 6 months now and it has performed flawlessly across a number of machines. I have also been working with a couple of startup businesses and they have now implemented Dropbox in their business and the results have been very impressive, notably in the money saved and the fact that they have the freedom to work anywhere and have access to all the data they need.
